Job Summary
My Medical Centers is seeking a highly organized and experienced Medical Clinic Manager / Assistant to oversee the daily operations of our healthcare facility in Ottawa. This role is critical in ensuring the smooth running of the clinic by managing administrative functions, staff coordination, financial operations, and compliance with healthcare regulations.
The ideal candidate is a strong leader with excellent problem-solving skills, a deep understanding of medical office operations, and experience in managing a team.
Key Responsibilities
- Clinic Operations & Administration
- Oversee the daily operationsof the medical office to ensure efficiency and high-quality patient care.
- Implement and enforce clinic policies, procedures, and best practices.
- Manage Electronic Medical Records (EMR) systems (e.g., OSCAR Pro, CHR, Accuro, Juno).
- Ensure compliance with PHIPA (Personal Health Information Protection Act) and Ontario healthcare regulations.
- Monitor and maintain clinic supplies, equipment, and IT systems.
- Staff Supervision & Team Leadership
- Recruit, train, and supervise Medical Office Assistants (MOAs), receptionists, and administrative staff.
- Schedule and coordinate staff shifts to ensure adequate coverage.
- Conduct performance evaluations and provide feedback to support staff growth.
- Address and resolve staff or patient concerns efficiently.
- Financial & Billing Management
- Oversee OHIP billing and private insurance claims
- Monitor and manage clinic budgets, expenses, and payroll.
- Handle invoicing, accounts payable/receivable, and financial reporting.
- Identify cost-saving opportunities while maintaining clinic efficiency.
- Patient Experience & Customer Service
- Ensure a welcoming and professionalenvironment for patients and visitors.
- Handle patient concerns and escalate issues to physicians if needed.
- Oversee patient scheduling to maximize clinic efficiency and reduce wait times.
- Implement and monitor patient feedback systems for continuous improvement.
Qualifications & Skills
Education & Experience:
- Diploma or degree in Healthcare Administration, Business Management, or a related field.
- 2+ years of experiencemanaging a medical office or healthcare facility.
Technical Skills:
- Proficiency in Electronic Medical Records (EMR) systems(e.g., OSCAR Pro, CHR, Accuro, Juno).
- Strong knowledge of OHIP billing, insurance processing, and financial management.
- Familiarity with Ontario healthcare laws, PHIPA, and workplace safety standards.
